About the role

We are looking for an Operations Administrator to provide organisational support to ensure smooth and efficient daily operations in key areas of the business. These including finance, HR, Sales, Client Success and Development, IT and procurement. Reporting to the HR Manager, you will work closely with Team Leads to meet their department’s admin needs.

The ideal candidate will need to be level headed, patient with a solid attention to detail and a disciplined, organised workflow. They will be the main point of contact for all internal business queries and as such will need to gain a broad understanding of all activities within the business and understand their part in helping these run smoothly.

Responsibilities:

HR:

  • Work closely with the HR Manager as part of the operational function
  • Assist with the recruitment process (collate cvs, distribute to hiring managers and interviews, website careers section admin)
  • Be a point of contact for IT support requests and work to find resolutions
  • Assist with the on boarding of new starters to the business, with the set up of equipment and accounts
  • Support the Information Security manager on an annual basis with our ISO27001 audit
  • Assist with business procurement
  • Maintain logs and approvals for staff travel requests, procurement, client onboarding and internal support
  • User admin of all SaaS systems (existing and new) within the business (Google Suite, RingCentral, Zoho one etc)
  • Work closely with Team Leads to ensure reports needed are generated and presented in a timely manner
  • Daily recording of working status of all staff members while working from home
  • Periodically ensuring employee documents are up to date and signed
  • Admin for Working Groups – preparations of agenda, action logs, booking meetings, board pack prep etc

Finance:

  • Assist with vendor and customer onboarding
  • Assist with aged receivable monitoring / co-ordination
  • Assist with PO approval processes
  • Assisting with VAT, Corp Tax and R&D tax credits procedures
  • Subscriptions and invoice management from our providers. calendar reviews of all software licences before the auto renewal date. Working closely with Account Manager in training and services provision
  • accuracy check all Rainbird invoices generated by the bookkeeper for quality and accuracy purposes with team leads

Client Success:

  • Setting up Rainbird Accounts and Rainbird University accounts
  • Assisting with general Zoho One queries and system admin
  • Ensure record keeping is maintained for Client/Supplier Contractual documents to ensure compliance and high quality experience

Preferred requirements:

  • 3+ years of administration experience
  • Highly computer literate with experience in MacOS, MS Office Suite and Google Suite and the administration of a wide variety of SaaS systems
  • Exceptional organisational skills

Desirable requirements:

  • Experience with Ringcentral and Zoho an advantage
